We currently use a custom-developed web database to manage our membership, visitors, and groups.
We are in the process of looking to replace that system with a church management system.
I believe you are using Church Community Builder - which is one of the ones we are evaluating. So we were wondering if you could tell us how they have been working for your church?
Here are some of the areas I had questions on:
Reporting:
I did sign up for their trial access a few months ago and it looked like their product was pretty full-featured. One of the features that stood out was their ability to define workflows of actions to automatically route emails and actions to people.
I don't remember however, how customizable the emails were? Is it possible to define custom formatting? Include group members, phone numbers, etc in an email to a group?
Email can be custom formatted, but you have to know the codes to do so (HTML works). However the auto created emails for things like a task can not be edited in any way that I am aware of. I also don’t know of a way to automatically include group member name, phone numbers, etc in an email, but the point of the groups is to avoid having to maintain copies like that anywhere else. If someone logs in and goes to that group, they can see the participants in the group and all their information. It is current (at least as current as members keep their info) so you don’t have to keep sending out new lists as people move, etc.
Another use we are working toward is an email to our caregroup leaders containing the current members of their caregroup, and a place to reply and mark off who had attended. This could be done with a link to a web form for the group (does CCB do this?) - but IMO having it in the email itself would same them having to open their web browser - and make it more likely that they would reply.
These kinds of automation go a long way toward saving time and effort to do the same things manually.
How customizable are the reports?
(another product we are looking at - People Driven Software - is very good in this area)
I don’t particularly care for the reports. It does not have as much functionality as our previous database. You have to create a query first to select the records that you want and then create a report to use that query. You can then either display the results of the report on the screen or in excel. You cannot format the appearance of the report unless you dump to excel and then work with it from there. The financial reporting is all integrated into the system and you cannot create your own reports to pull data. One weakness we have run into is that you cannot run reports to look at giving for a date range – which makes the pledge information worthless for our purposes. We are in the second year of pledges for paying off our mortgage and as the system currently exists we would have to create a new account for the second year to get accurate pledge info for the current pledge year. Otherwise is pulls all given to that fund regardless of the time frame given. When you enter a pledge you put in a date range, so I have sent an enhancement request to have the actual giving transactions be keyed off of the date range for the pledge. They have added it to the list of potential enhancements.
Hmm. While the financial tracking is not one of our current requirements - these limitations are good to keep in mind for the future.
How quickly do they respond to support requests? How complete are their responses? How often do they release updates/new functionality? How often do they fix bugs reported by you?
They are a smaller company, but they typically get back to you regarding support requests within a couple days. They seem committed to adding features and are in tune with their customer’s wants and needs. They do release updates pretty regularly in a reasonable timeframe. We have not had any bugs to report, but I would assume they deal with those pretty quickly.
They advertise an API - do you use it? Does it change very often? What steps do you have to do to integrate CCB data into your website and other systems?
We are not using API.
Usability
How much of a learning curve is there? What areas have taken people the longest to get used to? What areas have been the easiest? Any things you still wish it could do? Any things that you discovered it could do that have become invaluable?
We have taken this pretty slow and have not fully rolled it out yet. We are planning to do so with the entire church in January. Right now only leaders are using it. It is pretty straightforward and only those who are not a computer savvy would struggle.
Cost
Do they charge by attendance? Membership? Have they increased their rates? What price range are they in?
The cost is based on attendance. We are only into our second year of using the system, but have not yet had a price increase. I don’t know all the pricing bands, but we pay $1,500/year and are in the 675-875 attendance band.
Hmm - in that case they are less than PDS - but they also have some of the limitations you mentioned.
Anything else you would recommend that we look out for? Things you wish you had thought of?

I've been thinking about the time committment it will take to update the Directory to provide a form for caregroup leaders to make attendance reports, adding pictures to the directory, adding event registration, correcting reports, etc, etc.
I'm thinking it may be wiser to see if we can find a Church Management system that provides the features we need - and spend my time helping to administer that system + the website.
There are some features that I'm just itching to go and program in a bit better way - but I think that would end up taking more time in addition to the other things on my plate.
Plus, if anything would ever happen to me, it would be a lot easier to keep going with an external company.
Toward that end, I've reviewed the research I've done in the past and it looks like a lot of the systems cover the basic needs (member/group/visitor/attendance tracking) - but there are a few specialized features that we use or want to use that few systems have.
I've narrowed it down to a few of the best-fitting systems - and contacted them to see if they can meet any of our specialized requirements. If any of them can, then they would be the best fit.
Here are the specialized requirements:
- Automatic, repeating reminders for group members
- Example - Sending an email reminder every 2 weeks to the members of group - containing information about the group members at the time it was sent. If the members of the group change - the email recipients and content also automatically changes.
- Example - sending out a reminder to fill out the attendance form
- Ability to enter more than one visitor at once
- Example - entering 5 visitors, rather than having to enter each individually
- Ability to view birthdays/anniversaries in a calendar, or integrate them into other calendars
- Ability for online registration and payment for events, and assigning registered people to sessions, rooms, etc ..
And here are the systems that I think may fit the best:
I will let you know what I find out about them.
In the mean time I will continue to work on adding a survey/email for caregroup leaders to report their attendance.

use of CM data

Well we haven't really been utilizing the database for CM except for e-mail reminders for teachers. Robyn has been doing the nametags so has them all on a template in Word I think. Is that something we can add to the database as well? a template for name tags? That would be useful for family retreat and other functions as well, like the ladies meeting to print name tags for everyone.
I know how to make the roll sheets from the database now so I can start updating the roll sheets when there are new children in a class.
So I haven't come across an instance yet when there isn't someone in the database. When I've added new people before I would first assign them a family # on the excel sheet we have for that. and then just add them to the roll sheet excel sheets I have on my computer. I think now Valerie has a copy of the id excel spread sheet and has added the id #'s to all people in the database. read more »

- Select 'event' from the drop-down and click the 'Add new item' button next to it.

- Select the start and end dates/times for your event(you can click the little calendar page icon to use a pop-up calendar)

Do you want the event to appear on under Announcements? (at the top of the Extras pages)

- Select the options you want under Top Menu Location
- You can hold down the Shift key while clicking on items pick more than one
Do you want the event to be associated with a group or groups?

- Select the Groups you want this to be associated with
Do you want this event to have a map?

Do you want to attach files to this event?

- Click the Choose button in the Attachments section.
- Select a file on your computer
- Click the Attach button
- Wait for the file to be uploaded
- You will then see a the file listed in the Attachments section. You can then:
- Attach other files
- Choose which files should be shown in a list when this event is viewed

- Include the file as a link or picture by adding the inline tags as described under the Body section.
Do you want users to be able to signup for an event?
- This allows logged in users to enter their email address and a message to signup for more info about this story.

- You will then get an email notifying you that they have signed up.
- Whoever signed up will also get an email confirming they have singed up.
- You will also be able to see a list of everyone who has signed up for this story
If you click the 'Enable signups for this node' checkbox and click Submit or Preview, you will then be able to enter the email address to send you notifications of who has signed up to, as well as the confirmation message that should be sent to users who sign up.
When you are adding the Description of your event:
- If you put a scripture reference ( John 3:16 ) - it will automatically be converted into a link to the online ESV bible.
- If you put a web address or email address, they will automatically be converted into links ( www.gracecommunity.ws - dummy@email.com
When you are finished:
- Click Submit to save your changes
- Click Preview to see what your event will look like and continue to edit it.
- Click on any of the other menu options to abandon your changes

How to import multiple audio files that have already been FTPed over

1. FTP over the files following the normal instructions
2. Log in to the extras site
3. Begin to create a new audio item
4. Click the 'Import Audio' link at the top-right of the screen [inline:8]
5. Check off the files you want to import

6. Click 'Import'

7. Edit each of the audio items to add in the following:

- the date/time and title of the message
- the title (you can set it to %title)
- add the scripture reference to the Body

How to get a list of People, with their status information

If you:
- go to the People tab
- click on the 'Process All' button
- click on the 'Download CSV' button
- you will get an Excel file that has all this information, which you can delete the columns you don't need, and sort as you need to (column AC has the status field).
- if you click on the 'Print List' button instead:
- you will get a screen with a similar list, but with fewer fields.

Upgrading the Extras site
The Extras site has been upgraded to a new version of the software that runs it.
Most everything should look pretty much the same except for 2 areas (and more to come):
The Groups:
- The groups pages are slightly different (there are a new set of menu options for adding content and seeing who else is in each group)
- When you are editing a story - instead of the old groups list, there will be a section of checkboxes for the groups to add this story to (only the groups you are a part of will be shown)
The Messages:
- The Messages, Message Archives, and Podcast will all be in one place. read more »

How to add a new audio message

1. Use the My Account menu item to log in.
2. Click the My Account | Create Content | audio menu item.

Here are the details about how to do certain things when writing a story.
Do you want the story to only appear for a certain time?
(like disapear after a certain event has happened)
- Use the Scheduling section - be sure to check the check boxes to enable the function you want.
